1. Describe the job the equipment must do
Start with the application, workpiece, material and process. A model number alone may leave out the operating conditions that determine whether equipment is suitable.
2. State measurable requirements
- Workpiece dimensions, weight and material grades
- Capacity, cycle time, accuracy and finish requirements
- Duty cycle, shift pattern and operating environment
- Power supply, utilities, layout and installation constraints
3. Separate essentials from preferences
Identify mandatory specifications and optional features. This helps suppliers respond to the same baseline and explain any deviations.
4. Include the delivery and support scope
State the destination, target schedule, packaging needs and required documents. Clarify who will handle installation, training, commissioning and after-sales support.
5. Ask for a clear response
Request a technical compliance response, included accessories, exclusions, lead-time assumptions, quotation validity and payment terms. Any certification claim should be supported by documents relevant to the supplied equipment and destination.
