PROCUREMENT GUIDE

Compare the scope before you compare the price

A practical way to review technical scope, exclusions and delivery assumptions.

Use one comparison baseline

Give suppliers the same technical brief and ask them to identify deviations. Compare each quotation against that shared baseline.

Review five areas

  1. Technical scope: specifications, included components, options and exclusions.
  2. Quality: inspection, documentation, acceptance criteria and treatment of nonconformities.
  3. Delivery: lead-time trigger, packaging, shipment scope and destination assumptions.
  4. Commercial terms: currency, validity, payment milestones and tax or duty assumptions.
  5. Support: warranty scope, spare parts, installation and communication responsibilities.

Record open points

Keep a list of clarifications and attach the agreed response to the final scope. Avoid treating informal descriptions or generic website claims as a substitute for project documents.

Decide with the whole scope in view

Price is one input. Technical fit, documented responsibilities and the practicality of delivery and support also determine the value of an offer.
